# Adding internal notes to track license usage
## How to use the \[Notes\] field in Change Vision (CV) Members Portal to manage multiple Astah licenses.
If you manage multiple licenses within a single account, you can use the **Notes** feature to record internal details, such as which team member is assigned to a license or specific renewal justifications.
#### **How to Add or Edit Notes**
1. Log in to the [CV Members Portal](https://members.change-vision.com/en).
2. Navigate to the **\[My Licenses\]** menu.
3. Click the **Expand icon (arrow)** next to the license you wish to update to view its full details.
4. Locate the **\[Notes\]** field and click the **pencil icon** to enter your text.
5. Click the **checkmark icon** to save your entry.

### **Key Information**
- **Internal Reference Only:** These notes are stored exclusively in the portal for the administrator's reference.
- **Privacy:** Notes will **not** appear in the license file itself and are not visible to the end-user when they activate the software.
- **Flexibility:** You can update or clear these notes at any time to reflect changes in staff or project assignments.
